Tender Details
The main roles, duties and responsibilities of this consultant will be to act as the main point of communication and coordination between DJJ and the Department of Commerce project manager. These services will include:
§ Representing the interest of DJJ in the management and co-ordination of the works.
§ Representing DJJ on the Project Team responsible for project planning.
§ Developing project briefs in consultation with DJJ operational and properties personnel.
§ In cooperation with the Dept of Commerce project manager, advising DJJ as to project status of the project.
§ Keeping accurate records of meetings, reports, financial monitoring data, drawings, specifications and approvals related to the project.
§ Preparing correspondence, reports and minutes relative to nominated components of the project including Ministerial Reports and Briefing Notes as necessary, and the minutes of the Project Control Group.
§ Monitoring the performance of the Dept of Commerce project manager to ensure that all components of the project are efficiently planned, regulated and managed in relation to time and cost.
§ Preparing project cash flow requirements and monthly updates against cash flow forecasts.
§ Arranging for approval by DJJ of scopes of work, budgets, programs and funding approvals.
§ Arranging for the processing and payment of consultant and contractor progress claims submitted by the project manager.
§ Authorising, on behalf of DJJ, the project manager’s recommendations and requests relating to program, variations and extensions of time, and negotiation of claims.
§ Coordinating commissioning and handover programs with DJJ and the project manager; including arrangements regarding staffing, operating and operating procedures; and the procurement of furniture and equipment.
§ Ensuring that DJJ standards and guidelines are adhered to during the planning, design and construction process.
Checking that DJJ and users’ functional requirements are met throughout the development, including during the production of design and contract drawings, specifications and other contract documents.
